Proposals are only one way to find clients on Upwork. With Project Catalog, you package a service so a client can see exactly what they’re buying. It works for new VAs and for freelancers who already have clients and want another income channel. The key is choosing one task you can define, deliver and check reliably.

I used Upwork in 2020 and 2021, mostly for short-term, project-based e-commerce and Shopify work. I kept the work on the platform and received client reviews, and I value that visible work history as proof of paid experience. If you want multiple clients, project work and a reviewed track record, Upwork is worth considering. Just price your work with the fees in mind.

This guide walks through a SAMPLE service for organizing product information. It hasn’t been listed on Upwork or tested with buyers, and it comes with no earnings promise.

Choose a service you can define and show

Upwork suggests thinking about which skills can be packaged as a fixed price job with set deliverables, and whether you have work samples to show. You can add pictures, a video and PDF samples to a project.

On my own Upwork profile, I want clients to open my portfolio pieces first.

Start with work you can finish and check reliably. Some practice ideas:

Skill A bounded service idea
Spreadsheet organization Organize a set number of supplied records
Document formatting Format a supplied document within a page limit
Product information Prepare a catalog sheet from supplied details

If you can’t estimate the work without seeing the input, tighten the input requirements or rethink the offer. A task full of open decisions needs a conversation before it can become a fixed package.

No client work to show yet? The portfolio guide shows how to prepare a clearly labeled practice sample.

Draft the offer before filling in the listing

Write a short service brief in a document first. It’s easier to spot a missing input or vague promise there.

SAMPLE service brief (teaching example):

  • Service: Organize ten supplied product records in a spreadsheet.
  • Buyer receives: One organized spreadsheet and a separate tab listing missing or conflicting details.
  • Source limit: One supplied spreadsheet with ten product records. The client supplies the facts, and outside research isn’t included.
  • Fields: Product name, SKU, variant, supplied price and source reference.
  • Work included: Set up the agreed columns, standardize formatting, check copied values against the source and flag gaps.
  • Corrections: One combined correction pass for the original records and agreed fields.
  • Work excluded: New product copy, pricing decisions, finding missing specs, extra records, live store edits and inventory changes.
  • Delivery target: Three days once the full input arrives, if your practice runs show you can meet it.
  • Capacity: One active order while you learn how long the whole task takes.
  • Price: Set it after timing a practice run that includes review, corrections and your costs. This sample doesn’t suggest a market rate.

Now the client can see what they’re buying and what they need to send. You can also spot a request that needs a separate quote.

Build missing information handling into the offer

In the sample package, a product with no supplied price goes on the missing information tab, and its price stays unconfirmed. A request to research that price changes the work. A request to upload the sheet to a store changes access and responsibility too.

You can explain the boundary in your project FAQ:

SAMPLE FAQ: Can you fill in details that are missing from my file?
This package organizes the information you supply and flags missing details. Send any corrections with their source. Extra research or store updates need a separate scope discussion.

Walang kailangang hulaan para lang mapuno yung sheet. A visible question is more useful than a polished record with an unsupported value.

Follow Upwork’s creation steps

Upwork’s Help Center lists this route:

  1. Go to Find Work and choose Your services.
  2. Click the green Create Project button.
  3. Fill in the Project Overview: title, category, specifics and up to five search tags.
  4. Set the price and scope: up to three tiers (Starter, Standard, Advanced), optional add-ons, price, delivery days and included revisions.
  5. Create a gallery with samples of your work.
  6. Add client requirements, meaning everything you need from the client before starting.
  7. Describe the work: project summary, project steps and FAQs.
  8. Set the maximum number of concurrent projects, then submit.

A few limits from the same page:

  • Prices can range from $5 to $500,000 USD.
  • You can have up to 20 projects live at a time, plus 20 more in review.
  • Concurrent projects can be set up to 20.

Only offer the tiers you can explain clearly. More tiers mean more combinations you have to deliver. Check the labels in your own account as you go, since screens can change.

Use a title that names the output

For the sample offer, a possible title is:

SAMPLE title: An organized product spreadsheet with missing details flagged

Upwork’s title tips: say what you offer in a few words, don’t repeat “You will get”, use search tags instead of a longer title, follow normal capitalization and proofread.

Keep the wording true to the work. Avoid hinting that an organized sheet will bring a buyer more sales or better rankings.

Ask for the inputs you actually need

For this sample, the client requirements would ask for:

  • The source spreadsheet with the ten records.
  • The column structure they want, or one finished sample row.
  • Instructions for inconsistent or duplicated values.
  • Confirmation that they’re allowed to share the material.
  • The name of the person who will review the result.

Keep passwords and logins out of the requirements. This service can be delivered as a file without entering the client’s store.

Upwork notes that the client’s steps of submitting requirements, reviewing and approving are already built in, so leave those out of your own project steps. Yours might be: inspect the source file, organize the records, compare against the source, then prepare the delivery note.

Check the price against the whole task

Time a practice run that includes setup, checking and the correction allowance. Use that to decide whether the service fits the price you want.

When I quote, I start with market research, then I think about my expertise, how urgent the work is and the scope the client actually needs.

The VA rate calculator helps you test your hourly income target. For package pricing decisions, read the hourly vs fixed price guide.

Check Upwork’s current fees and your payout costs in your own account before you set the final price.

What happens after you submit

Your project shows in the Under Review tab. Upwork reviews it for completeness and professionalism, and it ends up in one of these stages:

  • Under Review / Pending Approval: Upwork is checking it, and you’ll be notified when done.
  • Approved / Accepted: It moves to your active tab, switches on automatically and you get a confirmation email. Turn off the Visible toggle if you don’t want clients to see it yet.
  • Needs Changes: You get an email with suggestions, then edit and resubmit or start over.

Upwork says gallery content is one of the biggest reasons projects aren’t approved, so read its gallery guidelines first. Approval also doesn’t guarantee orders.

Before submitting, preview your sample on a phone, read the deliverables aloud and ask whether a buyer could expect work you’ve excluded. Tighten any wording that feels unclear.
