Quick answer:
- Before a paid trial, agree in writing on the task, fee, time cap, delivery date and how the client will review it.
- Keep it small. Pick one task that shows the skill the client wants to see.
- On Upwork, requests for free work break Upwork’s policies, and a fixed price trial should start only after the milestone is funded.

A trial is a normal step with new clients, whether you’re a new VA or adding another client to your roster. The trick is keeping it paid, small and clear. Kapag malinaw ang usapan from the start, both of you can judge the work fairly. Here’s how to set one up, plus a sample brief and message you can copy.
Decide what the trial should show
Ask the client which skill or result they want to see. Then agree on one deliverable that shows it.
| Work being checked | Possible small trial |
|---|---|
| Product information | Organize a few supplied records and flag missing fields |
| Customer support writing | Draft replies to sample questions using their policy |
| Admin follow up | Turn sample meeting notes into a checked action list |
Use sample or limited access material where possible. Agree separately before you touch customer accounts, change a live store, issue refunds or send messages for the client.
On Upwork, the Help Center lists free work requests as a red flag and says they violate Upwork’s policies. A promise of future work can’t stand in for an agreed paid task.
My own advice before any trial: have a contract before you start the work, verify who the client is, compare unusually high pay with the actual task and the market, and don’t let urgency rush you past those checks.
Ask these questions before quoting
You need enough detail to estimate the whole trial:
- What input will the client provide?
- What file or output should you deliver?
- What is the deadline, including the time zone?
- How many records, pages or replies are included?
- What corrections are included?
- Who reviews the output, and when?
- What fee, currency and payment method will you use?
- What happens if the input is incomplete or you reach the time cap?
If the client can’t define the task yet, suggest a short call first before agreeing to any production work.
Price the whole trial
Count the time for reading the brief, doing the task, checking your output and one correction pass.
SAMPLE calculation: say all of that takes two hours and your planning rate is $8 per hour.
2 hours × $8 = $16 gross trial fee.
That’s only a teaching example before platform charges, payment costs and other expenses. It isn’t a market rate or anyone’s real earnings. Swap in your own rate and time estimate.
The VA rate calculator helps you test hourly income scenarios. If you’re still choosing how to bill, read the hourly vs fixed price guide first.
Payment costs matter too. For a direct client, the payout comparator helps you compare ways to get paid. Confirm the actual provider quote before agreeing on a method.
SAMPLE trial brief
SAMPLE (adapt with your client; this is a planning example and no substitute for legal advice).
- Task: Organize five supplied product records in a spreadsheet.
- Inputs: The client sends the source details, required column names and one finished example. No live store login needed.
- Deliverable: One sheet with the five records plus a missing information tab. Source values stay available for comparison.
- Included: Format supplied names, copy supplied SKUs and prices accurately, flag missing details, and one combined correction pass.
- Excluded: New product research, copywriting, pricing decisions, extra records and live store changes.
- Fee: $16 for the defined trial.
- Time cap: Two hours total, including review and the correction pass. If the work won’t fit, pause and ask the client to prioritize or agree on a new scope.
- Payment for a direct client: Full payment before starting this small trial, if both sides agree. On a marketplace like Upwork, use its funded contract process and keep payments on the platform.
- Delivery: By 4 p.m. Manila time on the agreed date, confirmed after all inputs arrive.
- Review: The client checks within two business days and sends one combined list of corrections.
- Acceptance check: All five records present, supplied SKUs and prices match, missing details flagged, nothing unsupported added.
- Next stage: Ongoing work needs a separate agreement on scope, rate and schedule.
Keeping it this small gives you a clean handoff and something concrete to talk about afterward.
SAMPLE message to propose the trial
SAMPLE (edit before sending): Hi Sam, I can start with a paid trial covering five product records. I’ll organize the supplied details, flag missing information and include one correction pass. The quote is $16, with a two hour total cap. We can confirm the delivery date once I’ve checked the source file. Would that give you enough to judge the work before we talk about ongoing support?
Replace the sample rate and scope before you send it. If the client changes the task, update the brief so you’re both looking at the same offer.
If the trial is on Upwork
Upwork’s Help Center says to agree on what you’ll deliver, when, how feedback and revisions work, and what success looks like before accepting a fixed price offer. Only begin work once the milestone shows as funded.
When the work is done, go to Deliver work > Your active contracts and click Submit work on the contract. Upwork says you still need to click Submit to start the review period, even if you already shared the file in Messages.
Here’s the standard fixed price timeline:
- The client funds the milestone.
- You submit the work, and the client has up to 14 days to review.
- The client approves, requests changes (the review period resets when you resubmit), or requests a refund (you have 7 days to respond or dispute). With no response in 14 days, funds are released automatically.
- Approved or auto released funds go through a five day security hold.
- After the hold, the money is available to withdraw.
Upwork also notes that fixed price contracts don’t qualify for its faster payments, so plan your cash needs around the full timeline. A funded milestone and money you can withdraw are two different stages.
When the task grows
Pause when the request goes past the agreed scope or time cap. Keep your message concrete:
SAMPLE: I’ve finished the five records in the trial. The extra records would be a new batch. I can quote that separately once you confirm the quantity and deadline.
If the source material is incomplete, send the missing information list. Don’t guess a price, SKU or policy just to make the file look finished.
Kung kulang yung details, ask before doing the extra work. It also shows the client how you handle uncertainty.
For me, a small task outside the agreed scope can be worth doing when it helps you learn a skill or show what you can do. If extra work keeps coming without more pay or another benefit, that’s the time to talk about compensation.
Close the trial with a good handoff
Send the output with a short note on what you finished, what needs confirmation and any next step waiting for approval.
Ask for specific feedback. Did the structure fit their workflow? Were the missing details easy to review? What would they change for the next batch?
If the work continues, agree on the new scope and payment terms first. If it ends there, note that payment and any access handover are done. Ask separately before using any client work in your portfolio.
FAQ
Should a VA trial task be paid?
Yes. Agree on a fee before starting. On Upwork, requests for free work violate Upwork’s policies and are listed as a scam red flag.
How big should a paid trial be?
Small enough to finish within a short time cap, like the two hour sample here, while still showing the skill the client wants to check.
When do I get paid for a fixed price trial on Upwork?
After you submit, the client has up to 14 days to review. Approved or auto released funds then go through a five day security hold before you can withdraw.
Should I start before the Upwork milestone is funded?
No. Upwork says to begin work only when the milestone is marked funded.
What if the client keeps adding work to the trial?
Pause at the agreed scope or time cap and offer a separate quote for the extra work.
Optional help with your client setup
The VA Starter Kit (₱299) includes onboarding questions and an agreement starter. Use them to organize the next conversation once the client has reviewed your trial. For more warning signs to watch for, see the VA job scam checklist.
